Description

SUMMARY

This position provides office support for the Department by performing common office tasks. Under direction, performs varied, complex clerical work involving the processing of documents in a variety of functions; does other related duties as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES – Include the following.  Other duties may be assigned depending on the needs of the department and the Township.

Provides various types of staff assistance to the Superintendents, by servicing inquiries and requests at the office counter; computer for general correspondence; and by doing general filing.

Answers incoming phone calls and resolves issue or directs calls to the appropriate office or individual.

Compile lists for metal, bulk, TV, E waste and other items requesting pickup from residents and customers so that it is available for the appropriate date collection.

Employees frequently exercise independent judgment and make decisions in accordance with delegated responsibilities.  Work is performed independently, requiring minimal review upon completion.

OTHER DUTIES AND RESPONSIBILITIES – The nature of the Township’s business and of the particular position may require additional duties, such as-but not necessarily limited to-those listed below.

Performs varied, complex secretarial and administrative clerical work, involving some elements of troubleshooting.

Maintains calendar and schedule of appointments for Superintendents.

Prepares administrative correspondence, memoranda, and statements on behalf of the Superintendents, as authorized.

Where authorized, reviews, prioritizes and responds to voicemail and various correspondence on behalf of Superintendents.

May prepare meeting agendas, attends meetings and records minutes.

Compiles information and/or numerical data.

Provides information in person and over the telephone.

May enter and/or retrieve information on a computer terminal.

Making photocopies; assembling packets for distribution.

Maintains prepared mailing lists. Assembles materials for distribution.

Assist with coordination of monthly street sweeping schedule and log book.

Process work orders and record information as necessary.

Assist with computer programming of the HVAC system for the Municipal Building.

Assist with Recycling Tonnage and Storm Water reports as needed.

Generate monthly fuel usage reports and billings in accordance with existing contracts.

Performing all common office functions as needed.

SUPERVISORY RELATIONSHIPS – This position has no supervisory responsibilities.  Routine tasks are performed with little supervision.  The Supervisor closely reviews new tasks and unusual situations.

Ability to interact on a businesslike basis with other employees at various levels of the organization, elected officials, members of the general public and vendors.

Ability to maintain a calm demeanor in the face of controversy or dispute.

Strong verbal and written communication skills

Strong organizational and filing skills.

Have knowledge of Office 365/ One Drive; Word, Excel and various other programs, with the capacity to improve those skills.

Use multi-line electronic phone system with central answering system.

Use of common office machinery, including fax machines, copier, multi-function printers and scanners. Ability to utilize technology, programs, and apps.

EDUCATION AND EXPERIENCE

MINIMUM: High School Diploma or General Education Degree (GED) and three months related experience and/or training, or equivalent combination of education and experience.

PREFERRED: Associates Degree from a two year college or technical school and on year of related experience and/or training, or equivalent combination of education and experience.

LANGUAGE SKILLS – Ability to read and comprehend simple instructions, short correspondence and memos.  Ability to present basic information in one-on-one and small group situations to customers and other employees of the Township.

MATHEMATICAL SKILLS – Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to accept payments, give change, and make basic bookkeeping entries.

REASONING ABILITY – Ability to apply common sense understanding to carry out detailed but simple written or oral instructions.  Ability to deal with problems involving occasional from the normal routine.

Must occasionally stoop, kneel, or crouch while performing office duties.

Must occasionally lift and/or carry objects, generally less than 25 pounds.

Must be able to see and use a computer monitor.
